Terms & Service Agreement

A detailed guide to responsibilities, deliverables, and expectations from
Ties and Bonds – The House of Vibrant Weddings

PHOTO DELIVERABLES TIMELINE

Status Photographs: 30–40 pictures will be shared with the couple within 24 hours after receiving the initial payment (ideal for social sharing and status updates).

Signature Album, AI Delivery & USB: These will be delivered within a minimum of 7 days and a maximum of 10 days depending on the event dates and schedules.

Album Selection Link: The selection of pictures for the physical album should be done by the client after receiving the link. Delays in selection can affect the overall delivery of both the album and the videos. Timely sorting is appreciated.

Album Layout Delivery: The album layout will be shared within 2 weeks after receiving the client's final selections.
(This layout can be edited once if changes are needed such as image swaps, additions, or deletions. Clients are responsible for ensuring spelling accuracy on the album cover.)

Final Album Delivery: The final printed album will be delivered within 25 to 40 days from the date of layout approval and client communication.
(If the album selection is delayed, the printing and final delivery will also be affected, and this delay will be the sole responsibility of the client.)

VIDEO DELIVERABLES TIMELINE

One-Minute Teaser: The teaser video will be curated by the team and delivered within 1 to 2 weeks after the event (typically focusing on the main event).

Candid Highlights Film: Will be delivered within 25 to 40 days after the event.
(Highlights will be edited only after album selection is completed. If there is no album in the package, the same timeline applies subject to client discussion.)

Full Video Documentary: Will be delivered within 25 to 40 days post-event.
(As with highlights, this will be edited only after album selection or per discussion if there is no album in the package.)

POINTS TO BE NOTED

  • Post-production will begin only after the second payment is cleared from the client’s end. All delivery timelines will be calculated from this date.

  • Clients must provide a suitable Hard Drive/SSD (depending on the size of footage) to copy backup files and share raw files and soft copies of deliverables. This should be handed over on the function day itself. If any alternative arrangement is required, it must be communicated at least 1 week before the event.

  • We will back up all data to the provided Hard Drive/SSD and return all photos and videos along with the albums. Data is stored on our servers for 6 months only. The company is not responsible for any data loss beyond this retention period.

  • Album photo selections must be submitted within 30 days of receiving the selection link. Delays in selection may impact the timely delivery of both albums and videos.

  • Videos will be delivered only after album selections are received from the client’s side.

  • Editing (photos and videos) begins after the second payment. The final payment must be cleared after album layout approval and before we proceed with album printing and video delivery.

  • Once pictures, highlights video, and full documentary are delivered, the client has 2 weeks to review and request changes. After this period, we will consider the deliverables final and may delete the data from our systems.

  • Each video includes 2 rounds of free edits. Additional edits will be chargeable based on the scope of work, and the re-editing timeline may vary.

  • Deliverables will be provided according to the package selected by the client.

  • The final payment must be completed before we proceed with:

    • Printing the album

    • Sharing the highlights video

    • Sharing the full documentary video

  • If the client requires only the highlights video, this must be communicated clearly in advance to the team.

  • Highlight video editing is included as part of the final payment. Only two major video corrections are permitted. Any further corrections will be chargeable.

  • Music preferences must be shared before editing begins. Once editing has started, music changes will not be allowed.

  • Any extra coverage beyond the agreed schedule will be billed at ₹2,000 per hour per photographer.

TERMS & CONDITIONS

Ties and Bonds from the House of Vibrant Weddings

1. EVENT SCHEDULE

The client must confirm the final schedule at least one week prior to the event(s).
If there are any changes in the event date, timing, or venue, these should be communicated immediately. Any additional events or time extensions not mentioned in the original agreement will not be covered unless mutually agreed upon in writing, and will be charged additionally.

2. SHOOTING TIME / ADDITIONS

The success of our coverage relies on mutual punctuality and cooperation.

  • Shooting begins and ends as per the agreed time schedule.

  • Clients must share a detailed timeline of each event at least 2 days before it starts.

  • Any request for extended coverage on the day of the event will be subject to additional charges and the availability of the team.

3. SAFETY

Our crew prioritizes their safety at all times.
If any member of the team experiences hostile, offensive, or inappropriate behavior at the event, or if the venue becomes unsafe, we reserve the right to suspend or end coverage immediately without any obligation to refund.

4. EXPENSES INCURRED

For outstation or destination events, the client is responsible for:

  • Travel, accommodation, local transportation, and

  • Meals for the crew from Ties and Bonds / Vibrant Weddings.
    Meal arrangements should be coordinated with the catering team in advance.

5. COPYRIGHT

Ties and Bonds from the House of Vibrant Weddings retains full copyright ownership of all images and videos.
The client receives personal usage rights for sharing and printing. Commercial use or publication must be approved by the company.

6. CANCELLATION OF EVENT

If the client cancels the event after confirming the booking, the advance payment is non-refundable under any circumstances.

7. DATA LOSS POLICY

We will not be held liable for any data loss or damage caused by:

  • Natural disasters (floods, fire, storms, etc.)

  • War, riots, terrorism, theft

  • System failure, or transportation damage
    While we maintain multiple backups, clients are advised to store final deliverables safely once received.

8. RESPONSIBILITIES

The company is not responsible for issues affecting coverage that are outside of our control, including:

  • Late arrival of the client or guests

  • Venue lighting or decoration constraints

  • Guest interference or obstructions

  • Incorrect or incomplete address or instructions
    We do our best to adapt, but these limitations can affect the final output.

9. PRE / POST-WEDDING SHOOTS

For pre-wedding or post-wedding shoots:

  • Additional travel charges apply depending on the shoot location.

  • Shoots will be conducted on a mutually convenient date, considering weather and logistics.

10. LASER SHOWS

Photography during laser shows is strictly restricted.
Laser beams can permanently damage camera sensors, and hence our team will avoid shooting during such moments for safety and equipment protection.

11. POST-PRODUCTION & EDITING

The company reserves the right to decide the creative direction of the final output, including:

  • Editing style

  • Color tone and effects

  • Image and video selection
    Suggestions are welcome, but the final decision lies with the editorial team.

VENUE RESTRICTIONS

The client is responsible for informing the company about any photography restrictions imposed by the venue, such as:

  • Flash usage limitations

  • Drone restrictions

  • Areas off-limits for photography
    Any technical challenges caused due to such restrictions are not the responsibility of the company. The client may choose to coordinate with venue authorities to allow necessary access.

13. COOPERATION

To ensure full coverage of all important guests and moments:

  • The client should assign a point-of-contact to assist the crew in identifying VIPs, family, or specific people to photograph.

  • For special planned moments (e.g., surprise performances, cake cutting, speeches), advance notice should be given to the team.

  • In the absence of instructions, the team will use professional discretion, but will not be held accountable for missing any specific guests or moments that were not highlighted.
